FY2021 TranspARTation Directory

The Kentucky Arts Council strongly encourages you to read and understand the TranspARTation Directory guidelines before accessing the application.

Like all programs of the Kentucky Arts Council, the TranspARTation Directory is guided by the arts council’s core values. Successful applications will embody these core values, and all applicants are strongly encouraged to read and reflect upon them before submitting an application.

Program Purpose

To identify arts organizations and venues that provide field trip options for Kentucky students to study exemplary works of dance, music, theatre, literary, visual and digital media arts.

Program Description

The TranspARTation Directory connects K-12 schools with field trip destinations that provide high quality artistic experiences. Schools must choose destinations from the TranspARTation Directory when applying for TranspARTation Grant funding. Approved organizations will be in the TranspARTation Directory for three years before requiring reapproval.

Performance Expectations

The arts council will review applications using criteria that correspond to the following performance expectations.

All organizations must:

  1. Provide exemplary artistic experiences suitable for K-12 students.

  2. Own, rent or otherwise have access to a permanent physical facility where field trips will be hosted that complies with current accessibility standards as defined by the Americans with Disabilities Act.

  3. Operate year-round, holding at least one artistic experience (performance, class, exhibition, etc.) per annual quarter.

  4. Communicate with teachers before, during and after their field trips to help them design an educational artistic experience.

  5. Provide teachers with educational resources such as staff, materials, space or specialized programming that enhance their arts curriculum.

  6. Provide students and teachers with the opportunity to develop arts literacy through studying artistic theory, skills and techniques.

  7. Provide opportunities for students to use written and verbal communication to reflect on artistic experiences.

Application Deadline

The application must be submitted via the online application form no later than 11:59 p.m. Eastern Time on April 15, 2020. Supporting documents may either be uploaded with the application or delivered by mail to the arts council. If supporting documents are mailed, they must be officially postmarked by the U.S. Postal Service, dated on or before the deadline date. Late applications and supporting materials will not be considered under any circumstances.

How to Apply

  1. Fill out the TranspARTation Directory online application form.

  2. Upload a narrative with your application, up to four pages, single spaced, 11-12 pt black font (Arial, Calibri, Courier or Times New Roman). This narrative should address each of the above performance expectations, including descriptions of the following:

    • Performances, concerts, exhibitions and other arts events designed for K-12 students, their teachers and chaperones.

    • Educational components and/or hands-on activities offered to enhance arts experiences.

    • Personnel, space and supplies available for arts instruction and activities.

    • Estimated time for activities and any relevant scheduling/calendar issues.

  3. Gather supporting materials and submit them by the deadline date as described above.

Supporting Materials

  1. Applicants must complete the accessibility checklist,(MS Word doc), for the facility that will host TranspARTation field trips. Facilities that do not meet ADA accessibility standards will not be accepted to the directory.

  2. Applicants may submit any combination of up to five of the following sample materials.

    • Sample promotional materials such as programs, organizational brochures, program calendars, videos, and exhibition catalogs that reference the arts events or performances focused on students and teachers.

    • Sample educational materials, including lesson plans, brochures, handouts, videos, online resources, surveys and assessment tools, etc.

Please note: Printed materials may not exceed 10 total pages. Video samples must be uploaded to YouTube. If you need technical assistance preparing your samples, refer to the Work Sample Preparation Instructions.
